Manage User/Group Page

To access this page:

  1. Display the Administration page.
  2. Select Manage User/Group in the page toolbar.

Groups/Users List

The list in the left pane displays existing groups and users as follows:

  • Group
  • Concurrent User
  • Fixed User
  • Bold text - User logged in

List operations are:

Add Group Add Group Displays the Add Group dialog. Enter a meaningful name for the group that you want to add. Use the Users and Permissions tabs for the group to assign users to the group and set permissions for the group.
Delete Group Delete Group Deletes the selected group.
Add User Add User Displays the Add Concurrent User dialog, allowing you to add a floating/concurrent user if your license permits this.
Delete User Delete User Deletes the selected user.

Add Concurrent User Dialog

Use Built-in Authentication Choose this option to use the authentication built into Data Workbench.
Use Windows Authentication Choose this option to use Windows Authentication and associate a Windows Domain and Username with a specific user of Data Workbench. This association allows the user to log in automatically without being prompted for another username and password.
Username Enter a user name for the new user.
Password Enter a password for the new user.
Confirm Password Confirm the password.
Group Select a group for the new user if you have established different groups, otherwise leave the default.
Concurrent Pool Select the concurrent pool for the new user if more than one pool is available. Otherwise leave the default. Typical pools include Business Pool and Professional Pool, where Professional Pool users have more features available than Business Pool users.

Permissions/Users Tabs

Users/User Details Tab

Use this tab to add/remove users in a group, or view/edit user details. The contents of this tab depend on whether a user or a group is selected in the list on the User/Group Management Page.

  • If a group is selected, the Users area is displayed
  • If a user is selected, the User Details area is displayed

Users

The fields below are displayed when a group is selected in the list on the left side of the User/Group Management page.

  Field Description
  Users Currently in Group Contains all the users that are currently in the group.
  Users Available to Add Contains all the users that are available to add to the selected group.
Move Left Click to move the selected user from the  "Users Available to Add" list  to "Users Currently in Group" list.
Move All Left Move All Left Click to move all the users from the  "Users Available to Add" list  to "Users Currently in Group" list.
Move Right Move Right Click to move the selected user from the "Users Currently in Group" list  to "Users Available to Add" list.
Move All RIght Move All Right Click to move all the users from the "Users Currently in Group" list  to "Users Available to Add" list.

User Details

The fields below are displayed when a user is selected in the list on the left side of the User/Group Management page.

Field Description
Use Built-in Authentication Select this radio button if you want to use the authentication built into Data Workbench.
Use Windows Authentication Select this radio button if you want to use the authentication built into Windows.  Windows Authentication allows an administrator to associate a Windows Domain and Username with a specific user of Data Workbench. This association will allow the user to login automatically without being prompted for another username and password.
Status Displays the current status of the selected user
Group Possible values are Users, Administrators, Unassigned or a group created by the administrator. The field displays the group to which the selected user is assigned.
Expiry Date The date that the license will expire.
Concurrent Pool Only displayed for floating/concurrent users. The name of the pool to which the selected user belongs. Enabled only when the selected user is a floating/concurrent user. Typical pools include Business Pool and Professional Pool, where Professional Pool users have more features available than Business Pool users.
User Type Possible values are Fixed, Floating and Roaming. The value depends on the type of Syniti Data Workbench license assigned to the selected user.
Currently Logged On Possible values are Yes or No. For a selected user, displays if the user is logged on or not.
Number of Uploads Done For a selected user, displays the total number of records that did not fail for all uploads. For example, if a user runs 5 uploads for a total of 9 records and 2 errors, a total of 7 records is displayed. If a record is uploaded but no changes are changes made, the record is still added to the Number of Uploads Done value.
Save Changes will not be saved until you click Save.
Free Hardware ID Click to allow a fixed user to install Data Workbench on a different machine.   They will no longer be able to run Data Workbench on the machine to which the hardware ID was originally tied.

Permissions Tab

Use this tab to set or change permissions for a selected user or group.

Permissions Area

TEMPLATES
Record Check to allow user / group to record templates.
Edit Check to allow user / group to edit templates.
Import Check to allow user / group to import templates.
Export Check to allow user / group to export templates.
UPLOADS
Schedule Check to allow user / group to to schedule uploads.
Upload Check to allow user / group to upload to SAP.
Unlimited Uploads Allowed Check to allow he user / group to upload an unlimited number of records to SAP.
Total Uploads Allowed If Unlimited Uploads is unchecked, set the number of permitted uploads for the user. This value represents the total number of uploads the user is ever allowed to upload.
UPLOAD MAPPINGS
String Transactions Check to allow user / group to string transactions together in an Upload Mapping.
Download Fields Check to allow user / group to download data from SAP into their spreadsheet.
Create/Edit Check to allow user / group to edit Upload Mappings.
Import Check to allow user / group to import Upload Mappings.
Export Check to allow user / group to export Upload Mappings.
QUERIES
Enable Queries Check to allow user / group to use the Download Data from SAP feature.
Edit Check to allow user / group to edit queries.
Create Check to allow user / group to create queries.
Download Check to allow user / group to download data from SAP.
Import Check to allow user / group to import queries.
Export Check to allow user / group to export queries.

System Instances Area

Displays a grid of system instances that have been added in the System Management section.

Save Credentials Check to allow the user to save SAP credentials for automatic login. Administrators and entitled users can manage this option.
Allowed Check this next to the System Instance you would like to give the user / group permissions to.
Name The name chosen to represent the connection to the instance when the connection was created in Data Workbench.
Time Restrictions Times that the system is available. Set using the Edit button to access the System Instance Time Restrictions dialog.
Edit Click Edit next to the corresponding system instance to add/change time restrictions. The System Instance Time Restrictions dialog dialog is displayed.

Allow or deny access to a system for any time or day of the week by clicking on a portion of the grid.

  • Purple areas on the grid are times when the user is allowed access to the selected system.
  • White areas on the grid are times when the user is denied access to the selected system.
